NOTICE TO BIDDERS

Walden School Corporation invites the submission of proposals for:

Security Camera Replacement and Addition

PROPOSAL SUBMISSION INSTRUCTIONS:

  1. All proposals shall be sealed and marked “Security Camera Replacement and Addition Bid” in the lower left corner on the front of the envelope.

  2. Submit three (3) copies of the signed proposal addressed to:

This project is funded through Federal Funding from the Department of Homeland Security(DHS)/Homeland Security Grant Program (HSGP)

SCOPE OF WORK

Walden School is accepting proposals to upgrade the existing Security Camera system. The current system consists of 48 cameras, (2)32 Channel NVR and 48 Cat6 cable runs which terminate in one of two IT closets. It is anticipated to use the existing cable runs to cameras which are in the same location as existing cameras as well as the existing POE switches. In addition to the replacement of 48 cameras, 2 additional cameras will be added for a total of 50 cameras(or equivalent to provide the same coverage). Locations and camera types are identified on the attached floorplans.

GENERAL

  • All equipment must be NDAA Section 889 compliant

  • Any proposal that deviates from the specifications listed in this RFP must be clearly identified.

  • Walden School is a 501(c)(3) non profit and as such is not subject to KY Sales Tax. Sales tax certificate will be furnished.

  • Invoices will be paid on a net 30 basis.

CONTRACTOR REQUIREMENTS

  • Contractor must be an authorized Bosch Dealer for at least five (5) years

  • Contractor must have a local office no more than 30 minutes from the school

  • Contractor shall have all employees submit to a background check before work commences. Contractor shall notify Walden School if any on site employees are terminated.

  • All supervisory personnel are to be employees of the contractor

  • Work shall be performed during normal business hours (7am to 4pm M-F) on days when school is not in session. A calendar of days school is not in session is available at walden-school.org/procurement.

  • Contractor shall carry and maintain insurance as follows:

    • Workers’ compensation insurance

    • Comprehensive General Liability Insurance with limits of $1,000,000 each occurence and $1,000,000 aggregate for bodily injury, personal injury and property damage combined.

    • Walden School will be furnished a certificate insurance and be named insured

  • Contractor shall comply with all applicable laws, regulations and ordinances in its business conducted at Walden School.

  • Contract acknowledges that Walden School has materials that contain/may contain asbestos and asbestos fibers. As such, any work must ensure compliance with all asbestos regulations and ensure no asbestos is disturbed.

  • Contractor shall at all times exercise safety precautions

  • Contractor shall be responsible for careless workmanship. Any task which does not produce the specified standard result shall be redone at the contractor’s expense.

  • Contractor will not sub-contract to another company, contractor, or individual.

  • When students are present in the building all personnel will sign in through the Walden visitor management system and display a visitor badge at all times.

  • Contractor is not allowed to remove any items from the building. Any employee caught stealing will be prosecuted to the full extent of the law.

EQUIPMENT SPECIFICATIONS

  • All equipment shall be new with a full manufacturer’s warranty

  • Cameras must be equipped to allow recording on the device through the use of an SD Card of up to 2TB

  • Cameras must be accessible from Windows and Mac based desktop computers as well. as Android and Apple smart phones

  • Cameras must trigger on motion and be capable of sending an email or SMS notification

  • All 360 degree cameras shall be 12mp

  • All indoor dome cameras shall be 5mp or higher, a varifocal lens and audio capability

  • All outdoor bullet cameras shall be 5mp or higher and capable of IR of 150ft or greater

  • All cameras must be capable of video analytics

BID NOTICE

The bid selected by Walden School will be that which best satisfies the specifications and the needs of Walden School. Items that may be used to evaluate and determine which bid is best are overall cost, implementation timeframe, quality of previous work, and satisfaction of previous purchasers. Walden School reserves the right to reject any and all proposal.
